McKENNA BOOKKEEPING SERVICES

Privacy notice

How we handle your information when you visit our website or get in touch.

Draft prepared: 6 September 2026

1. Who we are

McKenna Bookkeeping Services is responsible for deciding how personal information collected through this website and its enquiries is used. For this information, we are the “data controller”. Your contact is Curtis McKenna.

Email: enquiries@mckenna-bookkeeping.co.uk
Telephone: 07539 424945

This notice covers website visitors and initial enquiries. It does not describe the processing of bookkeeping records, payroll information or other client files during an ongoing engagement. Those arrangements need to be explained separately when services are agreed.

2. Information we collect

When you use our enquiry form, you provide your name, email address, the service you are interested in and your message. You may also provide a business name. If you contact us by email or telephone, we receive the contact details and information you choose to share, together with subsequent correspondence.

Our hosting and form providers may also process technical information, such as your IP address, browser information and request times, to deliver the website, transmit messages and help prevent abuse.

You do not have a legal obligation to make an enquiry. The fields marked with an asterisk are needed to submit the form and let us respond. Please do not include passwords, bank account details, identity documents or sensitive personal information in an initial enquiry.

3. Why we use your information

We use enquiry details to understand the support you need, answer your questions, discuss services and prepare a quote where requested.

  • Steps towards a contract: where you ask about engaging us personally, we use the information needed to respond to that request before entering into a contract.
  • Legitimate interests: for general enquiries or when you contact us on behalf of a business, our interest is in communicating with potential customers and managing those enquiries. Keeping the website and enquiry service secure is also a legitimate interest.
  • Legal obligations: we may need to retain or disclose particular information where a legal requirement applies.

The enquiry form does not sign you up to a newsletter or marketing mailing list. The website does not make automated decisions about you that have legal or similarly significant effects.

4. The services involved

Information is handled by the providers needed to operate the website and receive enquiries:

We may also need to disclose relevant information to authorities where the law requires it, or to professional advisers where necessary to deal with a legal matter.

5. How long we keep information

Proposed policy for approval: where an enquiry does not become a client engagement, delete the enquiry and associated correspondence within 12 months of the last meaningful contact, unless a continuing complaint, dispute or legal requirement justifies keeping relevant information longer.

If you become a client, relevant correspondence becomes part of the client record and is subject to the retention arrangements explained for that engagement.

FormSubmit’s stated 30-day submission archive is separate from the copies delivered to our email account. Deleting a message from our inbox does not itself delete a provider’s separate copy.

6. Cookies and links to Facebook

The website’s own page code does not add advertising trackers, analytics tools or a Facebook feed. Our Facebook buttons are ordinary links; Facebook receives your visit when you follow them, and its own privacy and cookie arrangements then apply. See Meta’s privacy policy.

When you submit an enquiry, you leave this website for FormSubmit’s submission and spam-check service. FormSubmit and Google reCAPTCHA may use cookies or similar technologies for that process. Their policies above explain their handling of this information. You can contact us by email or telephone instead of using the form.

Website hosting may use technical measures needed to deliver or secure the site. This notice will need reviewing if analytics, advertising tools or an embedded social feed are introduced.

7. International processing

Some of the service providers involved operate internationally, so processing may take place outside the UK.

To complete before publication: confirm the relevant processing locations and contractual arrangements for the hosting, form, spam-protection and email services. Where a restricted transfer occurs, identify the applicable UK adequacy arrangements or safeguards and explain how a copy can be obtained. FormSubmit’s public privacy information does not establish those details.

8. Your data protection rights

Depending on the circumstances and the lawful basis being used, you can ask to access your personal information, correct inaccuracies, delete information, restrict its use or receive information you provided in a portable format. You can also object to processing based on legitimate interests.

These rights are subject to conditions and exceptions. If we ever rely on your consent for a separate use, you can withdraw that consent without affecting processing that took place before withdrawal.

Contact Curtis using the details above to make a request. We may need information to confirm your identity. Requests are normally free, and we usually respond within one month; if an extension or exception applies, we will explain it.

9. Questions and complaints

If you have a concern about your information, please contact enquiries@mckenna-bookkeeping.co.uk so we can investigate and respond.

You can also complain to the Information Commissioner’s Office, the UK data protection regulator, through the ICO complaints page or by calling 0303 123 1113.

We will update this notice when the way the website handles information changes. The date at the top will identify the latest revision.
